Privacy Policy
Last updated October 13, 2026
This policy explains what information EC Rental Property Management LLC ("EC Rental", "we") collects through this website and landlord dashboard, how we use it, and the choices you have. It applies to landlords and property managers who use our software, and to renters who browse listings, chat with our assistant, or apply for a home.
Information we collect
- Account information from landlords and managers: name, company, email, phone, plan, and a securely hashed password.
- Google sign-in. If you choose "Continue with Google", Google shares your name and verified email address with us. We use them only to create your account and sign you in, and we don't receive your Google password or access anything else in your Google account.
- Property and listing information you enter, including addresses, rent, photos, tenants' names and contact details, transactions, maintenance requests, and inspection photos.
- Rental applications from renters: name, contact details, current address and landlord, employment and income, number of occupants, pets, vehicles, and your typed signature with the time and IP address it was signed from. We do not collect Social Security numbers or dates of birth on this site.
- Inquiries and chat messages you send through listing pages or Tello, our website assistant.
- Inspection photos and details. Landlords can add room-by-room inspection photos in the dashboard. Anyone can also use the free Tello Inspect tool, which collects your name, email, phone (optional), the property address, notes and the photos you upload, and emails you the report. Photos are stored privately and are never shown publicly.
- Billing information. Payments are handled by Stripe. We receive your plan and billing status, not your full card number.
- Technical information such as IP address and browser type, which our hosting provider processes to deliver and secure the site.
- Visit counts. When you open a public page, we count the page, the site that sent you there (such as a search engine), and whether you are on a phone or a computer. Your browser stores only today's date so we can count unique visitors per day. We don't use cookies or third-party analytics for this, and we don't store your IP address with these counts.
How we use it
- To run the service: show listings, deliver applications and inquiries to the landlord or manager for that home, and operate the dashboard.
- To evaluate rental applications, including verifying employment and rental history with the references you provide.
- To answer questions through Tello, our assistant, and to provide AI features such as listing headlines, rent reviews and photo-based inspection notes. These features send the text or photos you submit to AI models to produce a result. AI output can be wrong, so review it before relying on it. We don't use your content to train AI models.
- To keep the service secure, prevent fraud, and meet legal obligations.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
How we share it
- Landlords and property managers. An application or inquiry you send about a home goes to the landlord or manager who listed it.
- Tenant screening partners. Only with your authorization, a consumer reporting agency may run credit and background checks. It collects the additional information it needs directly from you, and its own privacy policy and the Fair Credit Reporting Act govern that report.
- Listing sites. When a landlord turns on "Publish to Zillow", the listing details and photos (not renter information) are sent to Zillow and may appear on its sites.
- Service providers who host and operate the site for us, such as Cloudflare for hosting, data storage, and AI processing (Workers AI), Anthropic as the AI provider for the tello.live assistant (with Workers AI as a backup), and Stripe for payments, under terms that limit their use of the data.
- Legal reasons, when required by law or to protect rights and safety.
Tello for your business (tello.live)
Business owners who set up a Tello assistant give us their name, email, business name, website address and any notes they type. We read the public text of the website they give us to write the assistant's notes. When a visitor chats with a business's assistant, we send what they type to an AI model so it can answer. If a visitor shares a phone number or email, or sends a message to the team (with a photo, if the owner turned that on), we store it and email it to that business. The business receives and controls that information and is responsible for how it uses it. A business's page can also read answers aloud and take spoken questions: those buttons use your browser's built-in speech tools, we do not receive or store any audio, and your browser's provider may process it under its own policy. The video maker at tello.live/make sends the text and web page link you enter to AI models to write the script and voice; we do not store your finished video. We use Cloudflare (hosting, file storage and AI), Stripe (payments) and Resend (email) to run these features, and we do not use chats, messages or photos to train AI models. Tello is an AI and can be wrong. Tello is not for health care: please do not share health or medical details with any assistant, and businesses may not use Tello for patient or medical information. Messages and photos a business receives are kept until the business deletes them or closes the assistant, or until you ask us to delete them at info@ecrentalpm.com.
The tello.live assistant
The "Ask Tello" chat on tello.live sends what you type, any photos and PDFs you attach, and the text of any web page you ask it to read to our AI provider (Anthropic, with Cloudflare Workers AI as a backup) so it can answer. We do not store your chat, your attachments or the pages it reads. When Tello searches the web for you, the search runs through the AI provider's search tool. Your chat is kept only in your browser tab until you close it or tap New chat. If you type your email in the chat, we store it with the conversation so the team can reply. If you rate a reply with a thumbs up or down, we store the question and the reply text, without your name or contact details. When Tello reads a reply aloud, the reply text is sent to our server to make Tello's voice; when you speak to Tello, your speech is turned into text by your browser and we do not receive any audio. To apply daily limits, we keep a one-way hash of your network address for one day only; we do not store the address itself.
How long we keep it
We keep account and property records while the account is active. We keep rental applications for up to three years after they are submitted so landlords can meet record-keeping and fair housing obligations, then delete them unless the law requires longer. Inspection photos and reports are kept until you delete the inspection (which removes its photos) or ask us to delete them. Inquiries, any assistant messages we store, and Tello Inspect submissions are kept until you ask us to delete them.
Your California privacy rights
If you live in California, the California Consumer Privacy Act (CCPA) gives you rights over your personal information. You can ask us to tell you what personal information we have about you, to correct it, or to delete it, subject to legal exceptions. We won't discriminate against you for using these rights. To make a request, email info@ecrentalpm.com from the address you used with us; we may need to verify your identity before acting on it.
Security
Data is encrypted in transit, passwords are stored only as salted hashes, and dashboard access requires sign-in. No system is perfectly secure, so please use a strong, unique password.
Children
This service is not directed to children under 16, and we don't knowingly collect their information.
